Year-end dealer meets 2026: a content plan for factories and distributors
Fix the date, venue and what you want from the meet by mid-November. Book the crew and shoot any launch or factory film three to four weeks before, so it plays on stage. Send invites two weeks out. Cover the day with a shot list, share photos that night, and post the highlight film within a week.
Late December is when many SIDCUL manufacturers and distributors in Rudrapur, Pantnagar, Kashipur and Haldwani gather their dealers. Some call it a dealer meet, some a retailer meet, some an annual function. There is a hall, a stage, a new scheme, awards for the top sellers and a dinner.
Most of these events leave behind a hundred phone photos in a WhatsApp group and nothing else. Yet it is the one day a year your whole trade network is in one room, looking at your brand. Planned properly, it gives you content for the next six months.
01Who should plan a year-end dealer meet now?
This plan is for any business that sells through other businesses and wants them to sell more of it next year:
- Manufacturers in the SIDCUL estates at Pantnagar and Sitarganj with a dealer or distributor network.
- Distributors of paints, pipes, electricals, tiles, sanitaryware and FMCG brands.
- Two-wheeler, tractor and car dealers holding sub-dealer and mechanic meets.
- Builders holding a broker meet before a new launch.
- Any company holding a staff annual day or family day at the year end.
The dates usually fall between mid-December and the first weeks of January. If yours is in January, move every step in the plan below by two or three weeks.
02What should the plan look like, week by week?
Here is the plan, working back from a meet in the third week of December:
| When | What to do | Who does it |
|---|---|---|
| First half of November | Fix the date, venue and guest list. Decide what the meet must achieve: a new scheme, a launch, awards or all three. | Owner and sales head |
| Mid-November | Book the photo and video crew. Decide the theme, the stage backdrop, standees and the invite design. | Owner, with the agency |
| Late November | Shoot the launch film or factory film at the plant, so it is ready to play on stage. | Crew, with the plant manager |
| Early December | Send the invite card and a short invite reel on WhatsApp. Confirm attendance. | Sales team |
| One week before | Finalise the run of show, the award list, speakers and a shot list. Check the hall's sound and lighting. | Event lead and crew |
| Meet day | Cover arrivals, speeches, launch, awards, dealers talking, dinner. | Crew |
| That night | Send the best photos to every dealer and to the group. | Agency or sales team |
| The week after | Post the highlight film, award posts and dealer testimonials. | Agency |
The step most companies skip is the late November shoot. A launch or factory film made the week before the meet is always rushed, and it shows on a big screen.
03What should we shoot on the day?
Give the crew a written shot list. On the day, the owner is busy greeting dealers and cannot direct anyone. The list should cover:
- Arrivals and registration, with the brand visible.
- The hall set up and lit, before guests sit down.
- Each speech, with clean sound from the stage mic.
- The product launch or scheme reveal, from two angles.
- Every award handed over, with the dealer's name noted.
- Short interviews with five or six dealers about working with you.
- A group photo of everyone, taken early, before people leave.
Dealer interviews are the most valuable footage of the night. A retailer from Kichha saying in plain Hindi why they have stocked your brand for years is worth more than any claim in your catalogue. Ask their permission and keep each one short.
04How do we use the footage after the meet?
This is where most of the value sits. One well-covered evening can feed months of content:
- A short highlight film for LinkedIn, YouTube and the website.
- One post per award winner, which the dealer will share with their own customers.
- Dealer testimonial clips for ads aimed at new dealers.
- The launch film, cut down into reels for the product's first months.
- Photos for the next catalogue, brochure and company profile.
Award posts work especially well. Dealers are proud of them, and they share the post on their own WhatsApp status and pages. Your brand reaches their customers for free.
If you do not yet have a proper film of the plant itself, the meet is a good reason to make one. Our post on What should a company profile video for a SIDCUL factory in Pantnagar show? covers what a factory film should show.
05What should the invite and stage design look like?
The invite is the first thing dealers see, and many of them judge the event by it. Keep it clean: the brand, the date, the venue with a map link, the time and one line on what is happening. Send it as an image that reads well on a phone, and a short reel version for WhatsApp status.
On stage, the backdrop is in every photo of the night, so get it right. Your logo, the event name and the year, with the main scheme or product line. Avoid packing it with every dealer's name or a dozen logos. Standees, award certificates and the screen slides should all match.
Ask your designer for the files in print and screen sizes at once. Our graphic design work is at Graphic Designer in Rudrapur for Logos, Menus & Ads.
06What mistakes do companies make with dealer meets?
- Booking the photographer the week before, when the good crews are already taken by weddings.
- No shot list, so the awards are filmed from behind a pillar.
- Speeches recorded on a phone at the back, with only the hall echo audible.
- Not getting dealers' names right on awards and posts.
- Leaving the footage on a hard disk until March.
- Treating it as a party only, with no message for the year ahead.
The first one matters this year. Wedding season runs into mid-December, and photographers and videographers in the area are heavily booked. Fix your crew in November.
07Is it too late if our meet is in two or three weeks?
No, but cut the plan down. Skip a separate launch film and record a clear product demo on the day instead. Send a simple invite this week. Book a crew now, give them a shot list, and plan the highlight film and award posts for the week after.

08Questions people ask
How long should the highlight film be?
Keep the main film short enough to watch on a phone without skipping: a minute or two for LinkedIn and the website. Then cut separate short reels for the launch, the awards and each dealer interview. Nobody outside the room will watch the full two-hour recording.
Do we need a videographer, or will a photographer do?
If you only want photos for the group and the newsletter, a photographer is enough. If you want a highlight film, dealer testimonials or launch reels, you need video and clean sound from the stage. Many companies book both, as one team that plans the day together.
Can we post photos of dealers on our page?
Most dealers are happy to be shown, especially when receiving an award. Still, mention on the invite that the event will be photographed and filmed for your pages. If anyone asks not to appear, respect it and keep them out of the posts.
Is a dealer meet worth it for a small distributor?
It can be, even at a smaller scale. A dinner for twenty retailers in a good restaurant, with awards and a short talk on next year's scheme, builds loyalty. Shoot it properly and you have content that shows new retailers you look after your partners.
