01Who we are

This policy covers advancemediasolution.com and the services of Advance Media Solution ("AMS", "we", "us"), a marketing studio based in Metropolis City, Rudrapur, Uttarakhand, India.

We are the data fiduciary for personal data you share with us directly. When we handle personal data on behalf of a client (for example, leads from an ad campaign we run for them), the client decides how that data is used and we act as their data processor.

This policy is written to meet the Digital Personal Data Protection Act, 2023, and the Information Technology Act, 2000, with its rules on reasonable security practices and sensitive personal data.

02What we collect

This website has no sign-up, no login and no analytics or advertising trackers. Browsing it does not ask you for any personal data. The only thing that does is the “Let’s talk” enquiry form, and only when you choose to fill it in.

We collect personal data only when you contact us or work with us:

• Contact details: your name, email address, phone number and business name, when you email, call or message us.
• Enquiry details: your name, phone number, nature of business, location, the services you want and when you want to start, when you send the enquiry form. We use them only to reply to your enquiry.
• Project information: briefs, brand assets, photos, videos and anything else you send us to do the work.
• Billing details: billing name, address and GSTIN, for invoices. We do not store card or bank login details; payments go through your bank or payment provider.
• Account access: logins or partner access to your social media, ad or website accounts, where you grant it so we can manage them.
• Technical logs: our web host automatically records IP addresses, browser type and pages requested, for security and to keep the site running.

03How we use it

• To reply to your enquiry and send you a proposal.
• To deliver the services you have hired us for, and to talk to you about them.
• To invoice you and keep accounting and tax records as the law requires.
• To protect the website and our systems from misuse.
• To show finished work in our portfolio, where our agreement with the client allows it.

We do not sell your personal data, and we do not use it for anything unrelated to the reasons above without asking you first.

04Legal basis

We process personal data with your consent (given when you contact us or sign a proposal), to perform our contract with you, or where the law requires it, such as keeping tax records. You can withdraw consent at any time, which will not affect anything we did before you withdrew it.

05Who we share it with

We share personal data only with the service providers we need to run the business, and only as much as they need:

• Hosting and email: Hostinger (website hosting) and Google Workspace (email and files).
• Advertising and social platforms: Meta, Google and others, when we run campaigns or manage accounts on your behalf.
• Freelancers working on your project, such as photographers or editors, under confidentiality.
• Our accountants, and government or tax authorities when the law requires it.

Some of these providers store data outside India. Where they do, they are bound by their own security and privacy commitments, and we transfer data only to countries not restricted by the Government of India.

06How long we keep it

Enquiries that do not become projects are deleted within 12 months. Client project files are kept for the length of the engagement and up to 24 months after it ends, so we can support you if something needs to be revisited. Invoices and accounting records are kept for 8 years, as Indian tax law requires. Server logs are kept by our host for a short period and then deleted automatically.

07How we protect it

We keep data in access-controlled accounts, share client logins only with the people working on that account, and remove our access when an engagement ends. The website is served over HTTPS. No system is perfectly secure, but if a breach affects your personal data we will tell you and the Data Protection Board of India as the law requires.

08Your rights

Under the Digital Personal Data Protection Act, 2023, you can:

• Ask what personal data we hold about you and how we use it.
• Ask us to correct, complete or update it.
• Ask us to erase it, unless the law requires us to keep it.
• Withdraw consent you have given.
• Nominate someone to exercise these rights for you if you die or become unable to.
• Raise a grievance with us, and then with the Data Protection Board of India if we do not resolve it.

09Children

Our services are for businesses, and we do not knowingly collect personal data from anyone under 18. If you believe a child has sent us personal data, tell us and we will delete it.

10Grievance officer

11Changes

If we change this policy we will update the date at the top of this page. If a change materially affects how we use data you have already given us, we will tell you directly.
