01What does a sports event, fair or gym actually sell?
A date. A run or a cycle event sells a start line on one morning. A fair sells a few days of stalls and a stage. A gym sells a habit, and the two windows it plans around are the New Year and the weeks after Diwali. None of these can be sold after the moment has passed, so the calendar runs the marketing.
The busy stretch is not the event week. It is the weeks before, when people are deciding. What they check is practical: categories and fee, route or venue, parking, timings, who else is going, last year's photos. If those answers are hard to find, they close the tab and mean to come back. By then, registration may have closed.
Events are hard to shoot on a phone. Wide shots make a ground look empty. A climb on a running route flattens to nothing. A night stage turns into blown-out lights and blur. A badminton court shot from the gallery looks like a school hall. The fix is not a better phone. It is shooting low and close, from inside the crowd, with a person on camera explaining what you are looking at.

02How do you fill registrations before the deadline?
The Niti Xtreme Ultra Run is the clearest example we have. It is a high-altitude ultra run with a fixed registration deadline, so the one number that mattered was entries.
- Presenter-led explainers covered what holds a runner back from entering: the categories, the prizes, the partners and how to sign up.
- Prize, partner and category creatives were posted every day, keeping the race in runners' feeds.
- Meta ads were timed to the registration deadline, and spend shifted to the creatives bringing in entries as closing day came closer.
The race closed with 2,000+ entries, two months from the first shoot. The case study is at the Niti Xtreme Ultra Run case study.
We run every registration campaign to the same countdown. We fix the closing date, then work backwards: when the explainer needs to be live, when partner creatives start, when the last-week push begins. The countdown is written down and shared with the organising committee, so nobody is asking for a poster the night before. Ads are paid from your own Meta account and entries land in your own form. You can check the numbers at any hour without asking us.
03What happens on the day, and why do reels go out while the event is still on?
A highlights film lands after the gates have shut, when nobody can still decide to come. On a multi-day event, what goes out today is there to sell tomorrow.
At Saras Mela our crew stayed on site through the full run, day and night. We filmed the buyer-seller meet as it happened and the stage performances on the night. Reels were cut and posted while the fair was still open. Across the run, 1 lakh+ people came through the gate. For Akasa, we shot a venue event live.
This needs a different crew plan from a normal shoot. We plan the crew around the running order, including the night sessions. Night stages and camera positions are worked out on the recce. Editing runs alongside the shoot, so reels can go out while the event is still on, as they did at Saras Mela. The shot list, the posting schedule and who approves at what time are agreed before the gates open. No approval is left hanging on a midnight WhatsApp.
Sponsors and partners want something out of this too. We agree a sponsor shot list in advance and keep their branding readable in the frame. Sponsor clips, cut to post from their own pages, are planned into the same shot list and edit queue as your reels. It also gives you something to show sponsors when next year's deck goes out.
04When should a gym or academy plan its membership drives?
Plan around two windows: the New Year, and the weeks after Diwali once the mithai is finished. Starting to post in those weeks is late. The content should be in the feed through December and from Navratri, so anyone thinking about joining has already seen you.
What someone checks before walking into a gym is specific. How crowded is it at 7 pm? What equipment is there? Who are the trainers? Are there women's hours? Is it clean? What does it cost? A feed that answers those on video does the front desk's job before the visit.
Under tube lights and mirrors, a gym on a phone is a room of machines. Real members and trainers on camera fix that. For Hans Sports we shot a presenter-led tour of the courts, and a reel on the badminton academy, shot on court. An empty court on a phone looks like any hall. A person walking you through it is what a parent or a player wants to see. We have also worked with HS Gym, Hans Sports Academy and Battledore.
Academies run on the school calendar: summer camps, the post-exam batch, trials before a tournament. Each is a small registration campaign with its own countdown, and we run it the same way we run a race.
05What does a campaign look like, from first call to event day?
This is the shape for an event with a date. For a gym or academy, the membership window is the deadline. Every step is counted back from that date.
- First: a planning call. Date, categories, fees, venue or route, sponsor list, and last year's footage. We build the countdown calendar backwards from the closing date.
- Next: the first shoot. A presenter-led explainer, a venue or route recce, partner and category creatives. The registration form is checked on a mid-range phone before anything points at it.
- Through the run-up: regular posting to the calendar, and the ads go live against the deadline. Each week, the budget moves towards the creatives bringing entries.
- The final stretch: the last push, and the event-day plan. Crew shifts, camera positions, the sponsor shot list, the edit queue and approval times.
- Event days: day and night coverage, reels posted while the event is on, and sponsor clips from the agreed shot list. Afterwards: a highlights film, a thank-you post, and next year's date.
Nobody can promise a number of entries or members, and we do not. What we promise is a report on how many entries or members came in. Where the ad account can show it, the report also says which creatives brought them. The earlier we have the date, the longer we have to find the creatives that work, so share it early.
06What does sports and event marketing cost with AMS?
Two prices, both starting points. Marketing retainers start from ₹35,000 a month. Business websites start from ₹50,000. GST is charged on top of both. An event site with registration is quoted after a call, like any website.
For events, the work bunches up. A race needs most of it in the weeks before the deadline. A fair needs a crew on site every day it runs, day and night. A gym needs a steady feed, with a push before the New Year and after Diwali. So the retainer is shaped around your dates, which we fix on the first call.
Two things sit outside the fee. Registration ads are paid by the organisers straight to Meta or Google, so the spend shows on your own statement. An event site sits on a domain bought in your name, with last year's results and photos still on it when entries reopen.

07Do you cover events outside Rudrapur, and how early should we call?
Venues across Udham Singh Nagar and Haldwani are a same-day drive from our studio in Metropolis City. That leaves time to recce the ground before the event. For Dehradun and further across North India, the crew travels for shoot days. A hill venue or a mountain route is quoted after a call or a recce about access, weather and hours. Travel is part of that quote.
College fests are the tightest case on this page. A fest committee often has little runway, a sponsor deck to fill and a pro-night to sell. The same countdown works, just compressed. Same-day reels matter most here, because a fest is over almost as soon as it starts.
Whatever the event, call early. Event dates cluster on the same weekends in wedding and festival season, and a crew booked for one fair cannot be at another. How far ahead of the event should we start marketing?
As soon as the date is fixed, and ideally before the sponsor list closes, so partner creatives can go into the countdown. The Niti Xtreme Ultra Run took 2,000+ entries in two months. Those weeks are when you learn which creatives bring entries. If your date is close, call anyway. A short countdown still beats a poster the night before.
Can reels go out while a fair or tournament is still running?
Yes, and on a multi-day event that is the point, because tonight's reel is there to sell tomorrow. At Saras Mela, reels were cut and posted while the fair was still open. What makes it work is an approval plan agreed before the gates open, with one person on your side who can say yes quickly.
Can you give our sponsors clips they can post themselves?
Yes. Before the event we agree a sponsor shot list: the banner, the stall, the branded bibs or kit, the moment on stage. Their branding stays readable in the frame. Sponsor clips are cut to post from their own pages, and sit in the same edit queue as your reels. When they go out is agreed with you in advance.
Do you shoot at night, or in the hills?
At night, yes. Saras Mela was covered day and night across its run, including the stage performances on the nights they happened. Night stages are planned on the recce, so camera positions are fixed before the show starts. For hill venues, we quote after a call or a recce about access and hours, and travel is part of that quote.
What does it cost to market a sports event or a gym with AMS?

Outside them, the feed still answers what people ask before walking in: the crowd at 7 pm, equipment, trainers, timings, cleanliness. A presenter-led tour, like the one we shot of the Hans Sports courts, is one way to show that on video.
Who owns the ad account and the registration data?
You do. Entries land in your own form or registration platform, so the entrant list stays with the organisers for next year. Ads run from your own Meta or Google account, so next year's campaign can start from this year's audience instead of from zero. If we build an event site, the domain is in your name and access is handed over at launch.
