Guide
What should a social media agency's monthly report show me?
A useful monthly report tells you, in plain words, what went out, who saw it, what people did next, what it cost, and what changes next month. The numbers that matter are calls, WhatsApp chats, DMs, forms and walk-ins. Followers and likes are context, not the result. If you cannot read it in five minutes, ask again.
Most owners in Rudrapur and Haldwani get a monthly report from their agency. Many get a PDF full of graphs, or twenty screenshots on WhatsApp, with words like impressions and engagement rate. They nod, pay the bill and still do not know whether it worked.
That is not your fault. A report is meant to answer one question for the person paying: is this bringing me business, and what are you changing? Here is what a good one looks like, so you can judge yours, or ask the right questions before you hire anyone.
01Why do most agency reports not help an owner?
Because they are written to look busy, not to be useful. A report that leads with likes and follower growth is easy to make. Instagram and Facebook give those numbers for free. They also tend to go up, which keeps everyone happy.
What the owner needs is harder to put together. How many people called? How many messaged on WhatsApp? Did anyone walk in and mention the reel? Which ad brought the enquiries, and which one wasted money? None of that comes out of a screenshot.
There is a second problem. Many reports have no next step. They show last month and stop. A report that never says what will change is a record, not a plan.
02What should a monthly report actually include?
For a shop, clinic, restaurant or school, a good report has six parts. It should fit on one or two pages and be readable on a phone:
- What went out: the reels, posts and stories, with the best and worst performer named.
- Who saw it: reach, and how much of it came from people near you.
- What people did: calls, WhatsApp chats, DMs, form fills, profile taps and direction requests.
- What the ads did: spend, results, cost per result, and which ads were stopped.
- What you told us: walk-ins and sales your staff linked to the content.
- What changes next month: two or three decisions, in plain words.
The last part matters most. If last month's offer reel brought chats but the product reels did not, the report should say so and say what the next shoot will do differently.
03Which numbers matter and which are vanity?
Every number has a use. The question is how much weight to give it:
| Number | What it tells you | How much weight |
|---|---|---|
| Reach and views | How many people saw the content | Useful context, not a result |
| Followers | How many chose to keep seeing you | Low on its own |
| Likes | That people liked a post | Low |
| Shares and saves | That a post was worth passing on or keeping | Medium, a sign of good content |
| Profile visits and link taps | Interest after seeing the content | Medium |
| Calls, chats, DMs and forms | People asking to buy | High |
| Cost per enquiry | What each enquiry cost in ad money | High, when ads run |
| Walk-ins and sales mentioned | Business you can see at the counter | Highest, if recorded honestly |
A reel with lakhs of views and no enquiries is not a failure. It may build recognition for the next offer. But a report that only ever shows views and never shows enquiries is avoiding the question.
04How do I count calls and walk-ins that came from Instagram?
No platform can see a customer walk through your door. So the counting has to happen partly in the shop. It is simpler than it sounds:
- Ask every new customer one question: how did you hear about us? Note the answer in a register or a phone note.
- Use one WhatsApp number for social and ads, so chats from there are easy to count.
- Put a simple code word in an offer, such as asking for the reel offer, so it can be tracked at billing.
- Check the calls and direction requests in your Google Business Profile, which customers often use after seeing a reel.
Hindi-speaking customers in Kichha or Gadarpur will rarely say 'I saw your Instagram ad'. They say 'I saw your video', or 'my cousin sent it'. Train the counter staff to write that down too. It still counts.
05What should the ads part of the report show?
If the agency runs Facebook, Instagram or Google ads for you, the report should show the money plainly. Spend against the budget you agreed. Results by ad, not just a total. What each result cost. Which ads were paused, and why.
Ask for one more thing: the ad account itself should be in your business's name, with the agency added as a partner. Then you can open Ads Manager on your own phone and see the same numbers. A report you can check is a report you can trust.
The word results needs care. In Meta's reports it means whatever the campaign was set to get, such as chats started, form fills or link clicks. A cheap click is not the same as a cheap enquiry. Make sure the report says which one it is counting. Our guide to How long do Facebook ads take to start working? explains how long the numbers take to settle.
06What should I ask an agency about reports before hiring?
These questions sort out most agencies in one meeting:
- Can I see a real report you sent a client, with the name hidden?
- Which numbers will you count as results for my business?
- Who explains the report to me, on a call or in person?
- Will the ad account and the page stay in my name?
- What happens in the report when a month goes badly?
The last answer tells you the most. Every account has bad months, especially in the Kharmas lull or the weeks after Diwali. An agency that says the report will show it plainly, and say what changed, is one you can work with. 07How does AMS report to its clients?
At Advance Media Solution the monthly report is short and in plain words. It says what we posted, who saw it, how many people called, messaged or filled a form, what the ads cost, and what we are changing next month. If a month did not work, the report says that too. We walk owners through it on a call, because most prefer that to reading a file.
We count what your desk records as well as what the platforms show. One client, the psychologist Dr. Siya Mishra, put it this way: 'I used to think social media was a vanity project until I saw the numbers.'
Retainers start from ₹35,000 a month plus GST, with details at Digital Marketing Packages in Rudrapur from ₹35,000. Whoever you hire, ask to see a sample report before you sign. If you want to talk it through, call +91 91059 43909.
08Questions people ask
How often should an agency send me a report?
Monthly is right for most local businesses. Weekly numbers jump around too much to mean anything, especially for a shop with a few enquiries a day. During a big campaign, such as a Diwali sale or an admission drive, a short weekly update on WhatsApp is reasonable, with the full report at the month end.
My followers are not growing. Is the agency failing?
Not necessarily. A local business needs customers within a short drive, not followers across India. If calls, chats and walk-ins are rising, slow follower growth is fine. If both are flat for three months in a row, ask the agency what they are changing, and expect a specific answer.
Should I believe a report full of screenshots?
Screenshots are fine as proof, but they are not a report. A report pulls the numbers together and explains them. Ask for one page that says what happened and what changes next. If the agency cannot write that, it may not know the answer itself.
Can I ask the agency to count walk-ins?
You can, but they need your help. Only your staff can ask customers how they heard about you. A notebook at the counter or a shared phone note is enough. Send the count to the agency at the end of each month, and it should appear in the next report.
