Guide
How do I prepare my shop or restaurant for a photo and video shoot?
Decide the one thing the shoot must sell, and agree a short shot list with the crew. Book the slowest hours of the day. Clean and stock the space the evening before. Tell staff who will be on camera, and keep the owner free for an hour. The rest is the crew's job.
You have booked the shoot. The crew arrives at eleven. At ten past eleven the owner is on a supplier call, the best-selling item is out of stock, the counter has last week's festival poster on it and the lunch rush starts at twelve.
That is how most shoots go wrong, and none of it is about the camera. Here is how to prepare a shop, restaurant, clinic or showroom so one visit gives you weeks of content.
01What should I decide before the shoot day?
Most of a good shoot is decided on the phone a week before. These are the questions we go through with every client:
- What is the one thing this shoot must sell? A festival offer, a new menu, a winter range, admissions, or simply trust in the place.
- Where will the content go? Instagram reels, a Google listing, a website, or an ad. Each needs slightly different framing.
- Who will be on camera? The owner, a doctor, a chef, a salesman, or nobody.
- Which products, dishes or rooms are the heroes? Pick a few, not the whole catalogue.
- What must not appear? Price tags you plan to change, a competitor's brand, a patient's face, a messy storeroom.
Write the answers on one page and send it on WhatsApp. That page becomes the shot list. A crew that knows what you are selling shoots differently from one told to cover everything.
02What is a shot list, and do I really need one?
A shot list is just a list of the photos and clips you need, in the order you will shoot them. You do not write it alone. The crew drafts it, and you correct it.
Yes, you need one. Without it, the crew shoots what looks nice, and you find out a week later that the new collection never got filmed. With it, everyone knows when the shoot is done.
For a restaurant, a simple list might read: the signature dish plated, the tandoor or kitchen in action, the dining room full, the chef talking for thirty seconds, the entrance at dusk. For a clothing shop: the new range on the wall, three hero pieces worn, a customer trying something, the owner explaining what is new.
We plan reels this way for clients across hospitality and retail. Kartar's Haveli was built on a brand film plus kitchen close-ups built around the menu. You can see that work at the Kartar's Haveli case study.
03When is the best time of day to shoot in a shop or restaurant?
Book the slowest hours, not the most convenient ones. A crew needs space to move, and customers do not want a light in their face.
| Business | Usually works | Avoid |
|---|---|---|
| Restaurant or cafe | Mid-morning, before lunch prep peaks; dusk for exterior shots | Lunch and dinner service |
| Clothing or jewellery shop | Opening time, before customers arrive | Evenings and Sundays in festival season |
| Clinic or hospital | Before OPD starts, or after it ends | Any time patients are waiting |
| School or coaching centre | Between classes, with permission slips sorted | Exam days |
| Factory or workshop | A normal shift, with safety gear on | Shutdown or maintenance days |
Daylight helps. Many shops in this area sit under tube lights that turn skin and food grey. If your best window light comes in the morning, shoot then.
04How should I get the space ready?
Do this the evening before, not while the crew sets up.
- Clean the glass, the counter, the floor and the entrance. Cameras see dust that eyes miss.
- Remove old posters, faded offer boards and handwritten notes from the walls.
- Stock the hero products fully. Half-empty shelves look like a closing-down sale.
- Iron uniforms and tell staff to wear them. Plain colours film better than busy prints.
- Clear one corner for the crew's bags, lights and charging.
- Fix the flickering tube light and the loose signboard. Both show up on video.
- Keep fresh stock or extra plates of the hero dish ready, because food and flowers wilt under lights.
In a restaurant, brief the kitchen. The dish that goes on camera should come out exactly as the customer will get it, just plated with care.
05Do I need to be on camera myself?
Not always, but in a local business the owner's face is often the strongest thing you have. Customers in Haldwani or Kichha buy from people they recognise. A short clip of the owner saying what is new, in their own everyday Hindi, often does more than a polished voiceover.
If you are nervous, keep it short. Three or four lines, said the way you talk to a customer at the counter. Do not memorise a script. The crew can ask you questions and cut your answers together.
We have shot this way for many kinds of business. Refresh Mattress's showroom launch had the owner on camera. Aakash Institute had its centre head on camera for admissions. Instep Physio had a presenter-led physio explainer. In each case the clip is about the business, told by someone who knows it.
Wear something plain and ironed, and avoid fine stripes and big logos. Then forget the camera and talk about the thing you know best.
06What mistakes do owners make on shoot day?
- Taking calls and running the counter while the crew waits for them.
- Adding new shots on the day, so the important ones get rushed at the end.
- Asking the crew to shoot during peak hours to look busy, which usually just looks chaotic.
- Filming customers, patients or students without asking them first.
- Using a festival backdrop for content that has to run for months.
- Approving nothing on the day, then disliking the whole edit later.
The last one matters most. Look at a few frames on the crew's monitor during the shoot. If the colour of the saree or the look of the dish is wrong, it is easy to fix now and impossible later.
07What happens after the shoot?
A good shoot day gives you a batch of material, not one video. Ask the crew how the footage will be split up: reels, stories, Google photos, website images and perhaps an ad.
Expect the edit to take some days, and say clearly who approves it. One person on your side, with one round of combined feedback, keeps things moving. Five family members sending separate WhatsApp voice notes does not.
Ask for the raw photos too, so you can use them on your Google listing and in WhatsApp status. And keep a note of what you did not shoot this time. That becomes the first line of the next shoot plan.
At Advance Media Solution, a shoot is planned, shot, edited and posted by the same team, so nothing gets lost between people. If you want help planning your next one, see Videographer in Rudrapur for Brands & Events or Video Editing Services in Rudrapur | Reels, or call +91 91059 43909.
08Questions people ask
How long does a shoot at a shop or restaurant usually take?
It depends on the shot list, not the size of the shop. A focused shoot of a few hero products and one owner clip can be done in part of a day. A full brand film with several locations needs more. Ask the crew to estimate from your shot list, and block that time with a margin.
Should I close the shop for the shoot?
Usually not. Book the slowest hours instead, such as opening time or mid-morning, so customers are few and you lose little business. A few customers in the background can even help a shop look alive, as long as they are happy to be filmed. Close only if the space is tiny or the shoot is complex.
Do I need permission to film customers or patients?
Ask every identifiable person before filming them, and respect a no. For clinics and schools be stricter: avoid patients' faces and reports, and get written permission from parents before filming children. When in doubt, frame shots so people cannot be recognised, or use staff instead.
Can I use one shoot for Diwali and for the rest of the year?
Yes, if you plan for it. Shoot the festival set-up in one corner and a plain, everyday version of the same products in another. The festival footage runs for three weeks. The everyday footage keeps working on your page, your Google listing and your website long after the lights come down.
